Team Overview

We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to support our leadership team. This is a great opportunity for someone with 5+ years of experience who thrives in a fast-paced environment and is passionate about providing high-quality administrative and operational support.

Role Responsibilities


  • Manage and coordinate complex calendars, meetings, and travel arrangements;

  • Prepare agendas, presentations, reports, and meeting notes as needed;

  • Serve as a liaison between the executive and internal/external stakeholders;

  • Track key deadlines, deliverables, and follow-ups to ensure smooth execution of projects;

  • Manage confidential information with discretion and professionalism;

  • Coordinate logistics for events, team meetings, and company-wide communications;

  • Support with expense reporting and procurement processes;

  • Identify and implement process improvements to increase efficiency.

Role Qualifications


  • Bachelor’s degree in Business Administration, Communications, or related field;

  • 5+ years of experience in executive-level administrative support;

  • Exceptional organizational and time-management skills;

  • Strong written and verbal communication skills;

  • High level of discretion and confidentiality;

  • Proficiency with Microsoft Office Suite, Google Workspace, and calendar tools;

  • Ability to work independently, prioritize tasks, and adapt to changing needs;

  • Experience supporting multiple executives or working in multinational environments;

  • Well versed with expense systems (e.g., Concur);

  • Fluency in English and Portuguese. Ideally Chinese speaking.
