Team Overview

We are seeking a proactive and detail-oriented Admin & Facilities Senior Analyst to support the efficient and safe operation of our offices in Mexico. This role is key in delivering a positive workplace experience, ensuring compliance with EHS (Environmental, Health & Safety) standards, and managing daily facility operations, budgeting, and maintenance. The ideal candidate will have strong organizational and communication skills and a customer-focused approach to supporting employees and vendors.

Role Responsibilities

Operations & Maintenance:




  • Coordinate and oversee day-to-day facilities operations across multiple office locations.




  • Ensure preventive and corrective maintenance plans are executed efficiently for all building systems (HVAC, electrical, plumbing, etc.).




  • Manage and liaise with external vendors and service providers to ensure high-quality service delivery.




Budgeting & Planning:




  • Support annual budgeting processes and monitor operational expenditures against budget plans.




  • Track and manage facilities-related costs and identify opportunities for cost optimization.




Asset & Inventory Management:




  • Maintain accurate records of office assets including equipment, furniture, and supplies.




  • Coordinate procurement, allocation, and disposal of assets as needed.




Employee Services & Experience:




  • Serve as a point of contact for facility-related inquiries, ensuring timely and effective resolution of issues.




  • Drive initiatives to enhance employee comfort, safety, and overall workplace experience.




  • Support office events, space planning, and relocations when necessary.




EHS Compliance & Wellbeing:




  • Ensure compliance with all local Environmental, Health & Safety (EHS) regulations and internal policies.




  • Collaborate with internal stakeholders to implement and monitor safety protocols and emergency preparedness plans.




  • Promote a culture of safety, wellbeing, and sustainability within the workplace.




 

Role Qualifications


  • Bachelor’s degree in Facility Management, Business Administration, Engineering, or a related field.


  • +4 years of experience in facilities coordination or office operations, preferably in a multinational environment.


  • Strong knowledge of building systems, maintenance planning, and EHS compliance.


  • Experience managing budgets and vendor contracts.


  • Excellent communication and interpersonal skills in both Spanish and English.


  • Proficient in Microsoft Office and facility management software/tools.


  • Problem-solving mindset with a strong sense of ownership and attention to detail.
